Common questions and troubleshooting
Follow these steps to get your email flowing from your source account into Gmail.
- Create your Mail in Sync account — Sign up and verify your email address.
- Connect your Gmail account — In Settings, click Connect Gmail and authorise access via Google. This is where your emails will be delivered.
- Connect your source email account — Click + Add connection and enter your source email credentials. See the Providers section below for setup guides for Yahoo, AOL, Gmail, Outlook, and custom domains.
- Disable Gmail's POP fetch (Gmailify) — If you previously used Gmail to fetch mail from your source account, turn it off to avoid duplicates. In Gmail go to Settings → See all settings → Accounts and Import → Check mail from other accounts and remove the entry for your source address.
- Click Sync now — On the Dashboard click Sync now to kick off your first sync. Emails will start appearing in Gmail within a few minutes. Large mailboxes may take longer for the full backfill.

What does Mail in Sync do?
Mail in Sync copies emails from your source mailbox (Yahoo, AOL, a custom domain, or any IMAP account) into your Gmail inbox. It is a replacement for Gmail's Gmailify feature, which Yahoo retired. Emails appear in Gmail exactly as they were in the source — with headers, attachments, and original timestamps preserved.
Does Mail in Sync read the content of my emails?
No. Mail in Sync transfers email data from your source account to Gmail without storing message content on our servers. Only sync metadata (counts, timestamps, error messages) is retained to operate the service.
Where do I get a Yahoo app-specific password?
Go to Yahoo Account Security → Generate app password → choose "Other App" → copy the 16-character password. Use this in Mail in Sync instead of your main Yahoo password.
Can I sync multiple source accounts?
Yes. Click + Add connection in Settings to add additional source accounts. Each can map to different Gmail labels.
Why does my Gmail connection need to be re-authorized occasionally?
Google OAuth refresh tokens can expire if unused for an extended period or if you revoke access in your Google account. Click Re-connect Gmail in Settings to restore the connection.
How far back does the initial sync go?
Controlled by the Lookback period setting on each source connection. Options range from 1 day to all historical mail. The initial sync can take time for large mailboxes.
How often does Mail in Sync check for new mail?
The sync interval is set per source connection in Settings. Options range from 15 minutes to daily. The default is every 30 minutes.
What does "After sync, mark source as" mean?
After an email is copied to Gmail, Mail in Sync can optionally mark it as read, archive it, or delete it from your source inbox. The default is Keep (do nothing).
IMAP authentication failed
The app password is incorrect or has been revoked. Generate a new app password at your provider and update it in Settings → Edit on the affected source. For custom domains, ensure IMAP access is enabled in your hosting control panel.
Gmail connection failed
Click Re-connect Gmail in Settings to go through Google OAuth again. If the problem persists, check that Mail in Sync still has access in your Google account permissions.
Sync is stuck on "Importing"
Large mailboxes can take many hours for the initial backfill. The Today counter on the Dashboard shows how many emails have been copied recently. If it's been more than 24 hours with zero activity, try Sync now.
How do I change my password?
Go to Account and click Change password in the Profile card.
How do I delete my account?
Go to Account, scroll to the bottom, and click Delete Account. This permanently removes all your data within 24 hours.
